How to make an invoice
Say who it is from
Your business name — or your own name if you trade under it — plus a way to reach you. An invoice that does not identify who is asking to be paid is not a document anyone should send.
Say who owes the money
The customer’s name, and their business name and address if they have an accounts department that needs to file it.
Number it and date it
A unique number, the date you are issuing it, and the date you expect to be paid.
List the work
One line per thing you did, with a quantity and a rate. Describe it the way you described it to the customer, not the way an accountant would.
Add tax, a discount or a deposit if they apply
Tax is calculated on the discounted amount, and a deposit already paid comes off the total to give the balance due.
Say how to pay you
Bank details, a payment app handle, a cheque address — whatever you already use. Then download the PDF and send it.

What should an invoice include?
A complete invoice names both parties, carries a unique number and a date, describes the work, and states what is owed and by when. Payment terms and any tax you charge belong on it too. Which of those are legal requirements depends on where you trade — the guide separates common practice from actual rules.

Every invoice needs a number nobody else in your records shares, and the sequence should only ever go up. This tool starts you at INV-0001 and lets you type whatever your own system uses — it cannot know what you have already sent, so keeping numbers unique is yours to do. Never reuse or renumber one you have already given a customer.

The due date is the whole point of the terms. “Due on receipt” means now, Net 14 means within a fortnight, Net 30 is a corporate-accounts-payable convention that quietly costs a solo trader a month. This tool defaults to fourteen days from the invoice date; change it to whatever you agreed.

Nowhere. Everything you type stays in the browser tab: the calculations happen there, the PDF is written there, and a logo you add is read and resized there. There is no account, no database, and no server involved in making the document — this site is a set of static files.
That has a consequence worth knowing before you start: nothing is saved. Close the tab or refresh the page and the invoice is gone, because there was never a copy anywhere else. Download the PDF before you leave.
We do count how many people open this page and how many finish an invoice, in the same anonymous way as the rest of the site. Those counts carry no names, no amounts and no invoice contents. Our privacy policy has the detail.
